Business users needed a simple way to record daily mileage, manage common journey locations and produce clear reporting for accounting and expense purposes.
Solution
A lightweight PHP and MySQL web application was developed with user registration, trip logging, location management, profile settings, mileage rate handling, expense tracking and report generation.

The Mileage Reporting Web App was developed as a lightweight business tool for recording mileage, managing common journey locations and producing reports for accounting use.
The system allows users to create an account, log in securely and manage their own mileage records. Each user can maintain their own profile, including vehicle registration, vehicle type, company details, accountant email and mileage rate preferences.
A key part of the application is the trip logging workflow. Users can create saved locations, including a designated home location, then record journeys between those locations with the relevant date and mileage. This makes daily trip entry quicker and more consistent than manually typing journey details each time.
The dashboard provides useful mileage summaries across the current week, month, quarter and year. It also tracks mileage against the 10,000-mile threshold used in standard mileage allowance calculations, helping users understand their position during the tax year.
The app also includes expense tracking, allowing users to record additional business-related costs alongside mileage. These figures are summarised on the dashboard so that users can monitor both mileage and expenses from one place.
Report generation is built into the system. Users can select a reporting period and generate structured mileage and expense data for that period. The export includes employee, vehicle and company details, trip records, mileage rates and calculated claim values, making it suitable for monthly accounting workflows.
The mileage calculation logic supports standard HMRC-style mileage rates, including threshold handling, as well as custom mileage rates where required. This gives the application flexibility for different reporting arrangements.
The project demonstrates how a focused, lightweight PHP application can solve a specific business administration problem without the overhead of a large framework or complex platform.
