Challenge

Martial arts clubs needed a more reliable way to manage students, instructors, lessons, attendance records and grading eligibility, including the ability to check students in during classes where internet access may be unreliable.

Solution

A Laravel-based management platform was developed with a remote Progressive Web App for instructors, allowing student QR codes to be scanned online or offline, with attendance data maintained for lessons, grading and club reporting.

The platform gives club owners, instructors and students a joined-up system for managing membership, attendance, grading progress, class registers and operational reporting across multiple locations.

Clubscope is a Laravel-based membership and attendance management platform developed for martial arts and fitness clubs.

The system was designed to help clubs manage students, instructors, locations, lessons, attendance records and grading eligibility from a central web application. It gives club owners a structured way to maintain student data, configure classes and monitor attendance across multiple locations.

A key part of the project is the instructor check-in tool. This runs as a Progressive Web App, allowing instructors to use a mobile, tablet or laptop device during classes. Students can be checked in and out using QR codes, with support for both online and offline operation. This is particularly useful in training venues where internet access is unreliable.

The offline-capable check-in workflow allows attendance data to continue being captured during lessons, then synchronised back into the main system when connectivity is available. This helps maintain a reliable attendance record without slowing down class registration.

The platform supports lesson and location management, allowing clubs to configure class times, venues and eligibility rules. Attendance data can then be used to help determine whether students are eligible for grading, based on lesson activity and time-based criteria.

Instructor access is also built into the platform. Instructors can be given appropriate permissions to check students in, access relevant class information, view emergency or medical details where required and generate class registers for safety procedures.

Students can also access their own information through the system. The platform supports student-facing activity views, family member management and visibility of lesson requirements before grading eligibility.

The administration area gives club owners and managers wider control over student records, instructor access, lessons, locations, fee structures, grading criteria and attendance history. The system also supports payment administration workflows, including GoCardless import functionality for monitoring monthly and annual fees.

Clubscope demonstrates a substantial bespoke Laravel application with a connected PWA front end, QR-code scanning, offline data capture, membership workflows, attendance reporting and grading logic. It is a strong example of a business-critical web application designed around real-world operational requirements.
